Step by step guides for running your books in Bookledo, from your first sign in to your reports.
Getting started
Sign in and reset your password
This article covers signing in, what to do when you forget your password, getting a new confirmation email, and signing out of an account that is not yours.
Set up your business
This article covers creating your Bookledo account, naming your Organization and your first business, choosing a business type, and checking the chart of accounts that comes with it.
Enter your opening balances
Opening balances tell Bookledo what your business already had on the day you started using it. You enter them as one journal entry, built from the trial balance of the tool you are leaving.
Move your books from Wave
Bookledo can read the accounting export from Wave and bring in your history with its categories, so years of categorized transactions do not have to be categorized again. You see exactly what will happen before anything is written, and running the same file again never adds a transaction twice.
Find help in Bookledo
Every Bookledo help article lives in the help center. You can open it whether or not you are signed in, and the articles read the same either way.
Your Organization
Manage your organization
This article covers the Organization page, one tab at a time. It covers the overview of your businesses, the people who work in and own them, who owns what, and the Organization's name and list of businesses.
Own and share your businesses
This article covers recording who owns each business, changing ownership, recording payouts to owners, and inviting the people you work with.
Books
See and record every transaction in Books
The Books page is one register of every transaction on your bank, cash and card accounts. Payments on invoices, payments on bills, expenses, entries you add yourself, and the lines your bank sends all show here as stacked rows, newest first. You can record money in and money out from this page, and you can open any row to see everything behind it.
Connect a bank
Link a checking or savings account and Bookledo brings in its new transactions every day, so you do not have to download and import statements. Linked transactions wait on the Books page like imported ones. Nothing reaches your books until you match or categorize each line.
Import bank transactions
You can bring in your bank activity from a CSV file, an OFX, QFX or QBO file, or a PDF statement. Imported lines wait on the Books page with an Uncategorized badge. Nothing reaches your books until you match or categorize each line.
Categorize and reconcile your transactions
Each line your bank sends, by import or by a linked bank, needs one outcome. You can categorize it as an expense or as income, match it to something already in your books, or exclude it. You can work one line at a time, or select many lines and categorize them together. This article covers all of it.
Reconcile an account
Reconciling checks your books against a bank or card statement. You enter the statement's end date and closing balance, then tick each transaction the statement shows. When the difference reaches zero, your books agree with the bank, and Bookledo remembers the date your account is reconciled through.
Invoices and bills
Create and send an invoice
Bill a customer, post the invoice to your books, get it to them, and record the payment when it arrives. Bookledo does not send email. You print or save the invoice as a PDF and send it with your own email, then mark it as sent in Bookledo so you can keep track.
Enter and pay a bill
Record what a vendor is charging you, keep track of when it is due, and mark it paid when you send the money. Bills are for amounts you owe later. If you already paid for something, record it as an expense instead.
Reports
Claude and AI
Connect Claude to your books
You can let Claude read your Bookledo books, and on the Pro plan you can let it propose changes. Claude connects with an API key you create. Each key belongs to one business, so Claude only sees the books of the business the key was made in.
Review what Claude drafted
When Claude works in your books with a key that can propose changes but not post them, everything it creates waits for you as a draft. A draft does not appear in any report and does not change any balance until you approve it. This article shows how to review drafts on the AI Activity page.
Plans and billing
Upgrade to Pro
Pro lets Claude write to your books, links your bank so new transactions arrive every day, and includes 5 businesses in one Organization with consolidated reports. You can add more businesses for $5 a month each. You pay inside Bookledo. You never leave the screen you are on.
Manage your subscription
Everything about your plan lives on the Billing page in the sidebar. It covers your plan, how you are billed, the card on file and your invoices. Only owners and admins can change anything here. Members and viewers can see the plan and what the organization uses, with a note about who can change it.
